Position Summary:

The Catering Coordinator & Producer plays a key support role within the Boka Catering Group sales team, contributing to administrative, creative, and logistical aspects of event planning and execution. This entry-level position is designed for someone looking to grow in the catering and events industry, with exposure to both back-of-house coordination and front-facing client interaction. In addition to supporting the team with proposals, event materials, and production logistics, the role includes handling drop-off catering inquiries and managing small-scale sales opportunities independently.

 

Key Responsibilities:

Sales Support & Entry-Level Sales

  • Respond to and manage drop-off catering inquiries, preparing proposals, confirming orders, and coordinating fulfillment.
  • Assist with intake of new leads, including scheduling consultations and helping draft proposal materials.
  • Support Sales Managers with menu recommendations, price estimates, and order adjustments for smaller-scale or repeat client bookings.

 

Administrative & Creative Support

  • Assist Sales Leadership and team members with proposal updates, BEO detailing, rental coordination, and contract preparation.
  • Create and update printed materials including menus, signage, and event documents using Canva and InDesign.
  • Maintain accurate event records in Caterease, auditing for consistency across picklists and production notes.
  • Help organize timelines, event folders, and production checklists for internal meetings and event execution.

 

Client Communication & Coordination

  • Send timely follow-ups to clients, including reminders, thank-you notes, and responses to planning questions.
  • Attend consultations, venue walkthroughs, and planning meetings as needed, assisting with notes and follow-up actions.
  • Support the planning and execution of floor plans, signage, and custom client documents.

 

Onsite Event Support

  • Provide onsite support for assigned events, including setup, guest service, and vendor coordination.
  • Act as point-of-contact on site when Sales Manager is unavailable, ensuring details are executed and client expectations are exceeded.

 

Venue & Marketing Collaboration

  • Support The Wellsley team with collateral updates and BEO accuracy during the planning process.
  • Assist in creating floor plans and updating signage for all Wellsley and Boka Catering events.
  • Contribute to internal tools, templates, and systems to improve team efficiency and event consistency.

 

Qualifications:

  • 1+ year of experience in events, hospitality, or administrative support preferred
  • Strong communication and organizational skills
  • High attention to detail and ability to multitask
  • Client-focused attitude with interest in growing sales experience
  • Familiarity with Canva, InDesign, and/or Caterease is a plus
  • Willingness to work occasional evenings or weekends to support events

Physical Requirements:  

  • Lift and move up to 10 pounds; frequently lift and/or move up to 25 pounds; and occasionally lift and/or move up to 50 pounds  
  • Safely and effectively use all necessary tools, equipment, and cleaning chemicals  
  • Stand and walk for an entire shift, including moving safely through all areas of the restaurant which may include stairs, uneven, and/or slick surfaces  
  • Ability to bear exposure to hot and cold environment
